Student Center and Activities' Involvement and Leadership team is here to serve students, student organizations, and the Rutgers community through organizational advisement and support, involvement activities, leadership development, and a wide range of program offerings. Such efforts, implemented in collaboration with students, faculty, staff, and alumni, aid in the growth and development of individuals. They are an integral part of the educational mission of Rutgers University.

Our team views students as partners in the creation and implementation of co-curricular endeavors at Rutgers University. This shared responsibility is achieved through student employment opportunities, paraprofessional experiences, organizational involvement, and the promotion of student decision-making.

We welcome you in your new endeavor as a student organization leader. The information contained in this handbook is meant to serve as a resource to student organizations and their officers. Our hope is to build a partnership with you that will ensure success for your organization.

We hope that you will attend our various programs, trainings, and workshops that have been tailor-made to meet your needs. Your experience as an organization officer should provide you ample opportunities to develop skills that will help you in your future endeavors and to meet co-curricular learning outcomes.

If you have any questions, please contact the Student Involvement and Leadership team. We are located in the Student Activities Center (SAC) at 613 George Street (College Ave. Campus). You may also contact us via phone: 848-932-6978 or email at osi@echo.rutgers.edu.

Student Organizations | Student Involvement & Leadership FAQ

We know leading a student organization comes with a lot of questions. This FAQ is designed to give you a quick, clear starting point. For complete policies, requirements, timelines, and procedures, please refer to the Student Organization Handbook.

Need a little more help? Student Organization Leaders are always welcome to stop by the Student Activities Center (SAC) Monday–Friday, 9:00 a.m.–5:00 p.m. Our team is happy to answer questions, help you navigate The Arc, and talk through your organization’s next steps.

The Arc & Suitable

Q: I'm having trouble navigating The Arc. What should I do?

A: Please reach out to us at osi@echo.rutgers.edu, we’re happy to help. If you run into a broken link or blank page, have trouble moving between events and organization profiles, can’t locate your organization, notice incorrect roster information, experience an event check-in issue, or something simply doesn’t seem to be working correctly, let us know.

When reporting an issue, please include a screenshot, the device and browser you were using, your organization’s name, and a short description of what happened. The more information you can share, the easier it is for us to help troubleshoot.

Q: Where can I find organizations and events?

A: Students can browse The Arc to find registered student organizations and upcoming activities. Use the Organizations or Activities filters on the left-hand menu, and search by keyword or category to narrow down what you’re looking for.

Q: I submitted something in The Arc. Does that mean it's approved?

A: No. Submitting a request in The Arc starts the review process, but it does not mean the request has received final approval. Depending on what you submitted, your submission may still need review from Student Involvement & Leadership (SIL).

Until you receive confirmation that everything is approved, please do not make purchases, advertise unconfirmed event details, or make commitments to outside vendors. If you are unsure where your request stands, stop by the SAC Monday–Friday, 9:00 a.m.–5:00 p.m., and we can help you review it.

Events, Meetings & Event Approval

Q: Do I have to submit every organization activity as an event?

A: Yes. Student organizations should submit their activities, including General Body Meetings through The Arc. In addition to keeping your organization’s activity record up to date, this allows you to track attendance and participation so you can better understand who is engaging with your organization throughout the year.

 Q: What's a realistic event-planning timeline?

A: Check out our event planning checklist in the handbook! Student Organization Handbook

Starting early gives you time to work through each step without a last-minute scramble.

Room Reservations & Meeting Space

Q: Do student organizations need to reserve space?

A: Yes. Student organizations should always use properly reserved and approved spaces for meetings and events. Registered organizations can request reservable space through the university’s reservation process managed by Meetings & Events (MEO).

If you are unsure what type of space you need or how your event request and room reservation work together, visit us at the SAC!

Funding: RUSA Allocations & SABO

Q: What's the difference between RUSA Allocations and SABO?

A: Think of RUSA Allocations, SABO, and SIL as partners with different roles. RUSA Allocations determines how much student-fee funding an eligible organization may receive each semester. SABO (Student Activities Business Office) manages the organization’s financial account and processes transactions such as deposits, transfers, check requests, and reimbursements. SIL handles all approvals, advises organizations and supports student leaders with policies, compliance, and event planning.

Contracts & Vendors

Q: When does my organization need a contract?

A: If your organization is using an outside individual or company to provide a service, a contract may be required even when the service is being provided at no cost. Common examples include performers, speakers, DJs, etc. Head over to the handbook and read up on all things contract related: Student Organization Handbook

Because contract requirements can vary, please ask before making a commitment to a vendor.

Q: Can a student sign a contract on behalf of the organization?

A: No. Students should never sign a contract on behalf of their student organization or Rutgers University. Doing so can make the student personally responsible for the terms of the agreement, including payment.

Before agreeing to anything with an outside vendor, please connect with SIL.

Catering & Food

Q: I’d like to learn more about Specialty Catering?

A: Visit our handbook to learn all about Specialty Catering.  Before requesting Specialty Catering, first confirm that the approved caterers cannot meet your organization’s need. Find all more information about specialty catering and catering in general: Student Organization Handbook

Travel

Q: Does travel need approval even if we're not using RUSA funding?

A: Yes. University travel requirements apply whenever a student organization travels off campus, regardless of the funding source. For more information regarding travel, check out the handbook here: Student Organization Handbook

Travel planning has several moving pieces, so please start early.

Organization Registration, Officers & Advisors

Q: How do we change an officer, our Advisor, or our organization's name?

A: These changes are all submitted through The Arc. Depending on what you need to update, submit a Change of Officer Request, Change of Organization Advisor Request, or Organization Name Change Request.

Policies, Safety & Student Conduct

Q: How do we report a concern about hazing, discrimination, or misconduct?

A: If there is an immediate danger or emergency, call 911 available 24/7. Concerns may also be reported through the appropriate university office, including the Office of Student Conduct, RUPD for suspected criminal activity, Title IX for sexual harassment or misconduct, and the Bias Prevention and Education Committee for bias-related incidents.

The Student Organization Handbook includes the full reporting pathways in Section 11. If you are unsure where to begin with a non-emergency concern, you can also stop by the SAC Monday–Friday, 9:00 a.m.–5:00 p.m., and our team can help connect you with the appropriate resource.
